Project Management Software Tools: Choose by Workflow
Compare the workflows behind Asana project management, Jira, ClickUp, Trello and Taaskyz. Use one real assignment to check how each tool handles ownership, review and delivery.

“Which tool has more features?” is easy to ask and rarely settles the decision. A better starting point is the assignment your team keeps losing track of: a client review, a release checklist or a piece of work waiting for someone who is away.
Pick that assignment and follow it from request to acceptance in each product. You will learn more from one complete handoff than from a long list of checkmarks.
This guide is published by Taaskyz. The descriptions of other products refer to their official documentation, checked on 5 November 2026. They are not hands-on benchmark results. Confirm the required feature and subscription tier with each vendor before choosing.
A starting point for the shortlist
| Tool | Workflow to try | Question to take to the demo |
|---|---|---|
| Asana | Coordinate tasks and milestones across a project | How will the owner and reviewer keep the same brief current? |
| Jira | Track issues through an agreed delivery workflow | Which statuses, issue fields and reports will the team maintain? |
| ClickUp | Bring structured tasks and supporting documents together | Which views and fields does the team need in daily use? |
| Trello | Move cards through a visible board | How will a card show its owner, due date and acceptance decision? |
| Taaskyz | Review tasks alongside attendance, leave and recorded effort | How will availability change the next assignment or handoff? |
Asana project management: follow the cross-team handoff
Asana’s project management software organises work through tasks and projects, with views for following the work. For a practical evaluation, create a client deliverable that needs input from two teams. Give it an owner, a deadline and a reviewer. Then change the brief and check how each person finds the latest decision.
If you already use Asana task management, first identify the actual gap. It may be an inconsistent update routine or an unclear review step. Moving the same unclear assignments to a new product will carry that problem with them.
Jira software: inspect the issue workflow
Jira’s project tracking features include boards, timelines and reporting. Start with an issue that moves from preparation through implementation, testing and acceptance. Check which fields the people doing the work need and which transitions mean that someone else has a new responsibility.
For project tracking in Jira, agree on what the statuses mean before adding more of them. “In review” needs a reviewer and a response expectation. A sprint report is useful only when estimates and completion rules are understood. If you use burndown charts, check how scope changes and unfinished review work appear.
ClickUp task management: test the everyday workspace
ClickUp’s task management features bring task structure, views and collaboration into a workspace. During evaluation, put the brief, assigned actions and review questions into one small project. Ask a teammate who did not configure it to find the next task and record a blocker.
Keep the trial close to daily use. A workspace prepared by one enthusiastic administrator can look clear to its creator while leaving everyone else unsure where updates belong. Agree which view the team will open first and which fields it is responsible for maintaining.
Trello project management: make the card mean something
Trello organises work with boards, lists and cards. Try a board with a small set of stages that describe real handoffs. Give each card a concrete result, a responsible person and a completion check. Move one card into review and ask whether the reviewer can act without a separate explanation.
For a team considering a Trello project management tool, the useful question is how much structure the work needs. Test your ordinary card, your blocked card and a card that depends on another assignment. Check any extensions or plan requirements for the process you intend to use.
Taaskyz: review the work and the person’s availability
Taaskyz connects task management with employee attendance, leave and timesheets. A useful trial is a task due while its owner is on approved leave. Review the assignment, check availability and agree on cover or a revised checkpoint.
Start with the capabilities your team needs: assigned tasks, updates, attendance and recorded effort. Dependencies, capacity planning and advanced reporting depend on the selected plan. Ask for a walkthrough using your own assignment rather than assuming the product covers every specialist workflow.
Use the same assignment in every trial
- Write the result. Describe what should exist when the work is accepted.
- Assign the handoffs. Include preparation, review and the person who accepts completion.
- Introduce a real complication. Change the brief, record a blocker or make the reviewer unavailable.
- Ask another teammate to continue. They should find the current brief and next action without the administrator explaining the screen.
- Check the operational details. Confirm permissions, export options, required integrations and total subscription cost for the actual team.
Keep a short record of where each trial worked well and where someone needed help. Those observations are more useful than declaring one product the best for every team. If you need to prepare the assignments first, use the project planning templates.
