CA Firm Task Tracker: Organize Client Work, Reviews and Follow-ups

Build a CA firm task tracker with clear owners, client document follow-ups and review stages. Includes sample rows and a weekly review routine.

A client sends half the documents on WhatsApp. An assistant starts the working file. The reviewer is waiting for a different client. By Friday, the partner's question is simple: which work is actually ready?

A CA firm task tracker should make that answer easy to find. A list of clients and due dates is a start, but it misses the handoffs that often decide whether work moves: documents received, preparation complete, review done and final action recorded.

Start with one row for each piece of client work

A client can have several open assignments, so give each assignment its own row. “Client A” is too broad. “Client A / monthly reconciliation / September” tells the next person which work you mean.

Suggested tracker fields
FieldWhat to record
Client and periodThe client reference and the period the work covers
AssignmentThe specific deliverable, such as a reconciliation or audit working paper
OwnerOne person responsible for moving the assignment forward
ReviewerThe person checking the prepared work
Internal targetWhen the firm wants the work ready for review
Verified external due dateThe applicable deadline checked against the current official source
Stage and next actionWhere the work is and the action that would move it
Last follow-upWhen missing information was requested, from whom, and when to follow up again

Keep the internal target separate from the external deadline. Otherwise a task can appear comfortably on time even when the reviewer has no time left to check it. This guide describes work coordination; set actual filing dates from the current rules and notifications that apply to the client.

Use stages that describe a handoff

A simple sequence is: documents requested → preparation → ready for review → changes needed → ready for final action → complete. You may need fewer stages. The useful test is whether moving a task tells someone else what to do.

“Waiting for client” also needs a next action. Record the missing item, the person who requested it and the follow-up date. Otherwise it becomes a place where assignments disappear.

Two sample entries

These fictional rows show the level of detail to aim for:

Illustrative client work entries
AssignmentStageNext action
Client A / September reconciliationWaiting for clientNeha to request the missing bank statement on Monday morning
Client B / audit working paperReady for reviewRavi to check the supporting schedule before the internal target

The details belong with the assignment. Use a secure document location for sensitive records and link to it according to your firm's access rules, rather than copying client documents into every status update.

Run a short weekly exception review

Open the tracker and look at work that is blocked, approaching its internal target, or waiting for review. Discuss those exceptions first. Reading every green row aloud rarely changes the plan.

  • Does each open assignment have an owner?
  • Which client inputs have been requested but not received?
  • Is more work entering review than the reviewer can finish?
  • Which internal targets need to move, and who needs to know?

Finish by recording the decisions on the affected assignments. A useful review leaves the tracker clearer than it found it.

When to move beyond a spreadsheet

A shared spreadsheet can be enough when one person coordinates a small workload and everyone keeps the rows current. Consider task management software when separate copies appear, ownership is unclear, or updates live mostly in private chats. The problem is the missing shared record, so solve that before adding more fields.
